Business Policy

1. Client Responsibilities & Supplied Materials
Clients are responsible for providing all required content and materials upfront before any design work can begin. This includes, but is not limited to:

High-quality photographs
-
Accurate, finalised text that has been checked for spelling and grammar
-
Proper attribution details, including the names of photographers where applicable
The Cowgirl Media © is not liable for missing or incorrect credits supplied by the client.
2. Reference Images & Copyright Responsibility
The Cowgirl Media © is not liable for any copyright infringement relating to reference images supplied by clients for artwork or design work. While clients are requested to provide images they own or have permission to use, responsibility for copyright compliance remains with the client. By supplying reference images, clients confirm they own the images or have the legal right to use them.
3. Designer Credit & Branding
All digital and printed materials featuring designs created by The Cowgirl Media © will display the The Cowgirl Media logo as designer credit and acknowledge copyright ownership. This branding appears on all design proofs provided prior to approval.
4. Creative Alignment & Right to Refuse Work
The Cowgirl Media © reserves the right to decline or discontinue work with clients where we feel there is a lack of creative alignment, incompatibility of vision, or where project requirements fall outside our artistic style or values.
If work has not yet commenced, any payments made will be refunded in full. If work has already begun, payment will be retained to cover time and creative input provided to date.
5. Deadlines & Project Timelines
Clients must specify any deadlines at the time of booking. Please note that:

Some projects take longer than others

Depending on current workload, there may be a delayed start date
Once a design is approved and payment has been made in full, a high-resolution digital file will be supplied to the client via email.
6. Proofing & Error Responsibility
While every effort is made to ensure accuracy, The Cowgirl Media © does not guarantee designs will be free from errors. It is the client’s responsibility to carefully review all proofs prior to approval.

Proofs should be checked thoroughly (we recommend viewing on a laptop or desktop for best accuracy)

Any errors must be reported before printing or final approval

Once proofs are approved, no changes can be made
Please review all proofs carefully before confirming approval.
7. Image Quality & Photo Guidelines
When submitting photos or logos via email, clients should ensure they are of the highest possible quality. Professional photographs are ideal but not mandatory.
Requests to alter or manipulate the physical conformation of animals or subjects will not be accepted. This includes reshaping bodies or features, due to copyright, moral, and ethical considerations.
Permitted edits include:

Background removal
-
Red-eye correction
-
Minor camera-related imperfections
8. Payment Terms
Full payment is required upfront for all design services.
Accepted payment methods:

BACS
-
PayPal (international clients)
All payments and deposits are non-refundable, regardless of project stage.
9. Cancellation Policy
Once design work has commenced, all sales are final. No cancellations will be accepted after work has begun, and payments are non-refundable. By proceeding with payment, clients acknowledge and agree to this policy.
10. Damaged Orders
If a printed order arrives damaged due to transit, clients must notify The Cowgirl Media © within 2 days of delivery, providing photographic evidence.

Customers are responsible for return postage costs

Replacements will be issued only after damaged items are received and inspected
11. Non-Contact Policy
If no communication is received from the client for a period exceeding 60 days regarding the completion of a design, the client will forfeit both the design and any payments made.
12. Copyright & Usage Restrictions
All designs created by The Cowgirl Media © – Tally Megan Thomas are protected under copyright law.

Digital adverts may not be printed or repurposed without prior written permission

Yearbook adverts may not be used as banners, boards, or in any other format beyond their intended publication or approved digital use

Banners may be reprinted as required; however, repurposing any design for alternative print or digital uses without approval constitutes a breach of copyright
Clients are encouraged to contact The Cowgirl Media © before repurposing any designs to ensure compliance with copyright law and to protect the integrity of the creative work.

Services Policy

This policy applies to all design services provided by The Cowgirl Media ©, including banners, boards, logos, and digital designs. By booking a project, clients agree to the terms outlined below.
1. Booking & Scheduling
Once your project is booked, it will be scheduled in our design calendar. Clients are asked to confirm sizing, formats, or project specifications at the time of booking. Depending on workload, start dates may be subject to minor adjustments.
2. Client Content Submission
Clients must provide all relevant materials upfront, including but not limited to:

Images, logos, and reference materials

Text, names, slogans, or taglines

Brand colours, style notes, or creative direction
Clients are welcome to share a creative vision or colour theme. If no direction is provided, The Cowgirl Media © will design according to professional judgment and signature style.
3. Reference Images & Copyright Responsibility
The Cowgirl Media © is not liable for any copyrighted images supplied by clients for reference in artwork or design. Clients must ensure that they own or have the legal right to use any materials provided. By supplying reference images, clients confirm their ownership or right to use them.
4. Design & Proofing Process

An initial draft will be created and sent to the client for review.

Clients may request reasonable revisions to refine the design.

Proofs must be reviewed carefully for accuracy before approval.
Important: Once proofs are approved, no further changes can be made.
5. Approval & Printing / File Delivery

Banners & Boards: Once approved, designs will be sent to print. Final products are typically delivered within 14–16 working days from booking, including revision time and postage.

Logos & Digital Designs: Final digital files will be delivered via email in high-resolution formats, typically within 10–14 working days from booking.
Additional formats or uses outside the original scope may incur extra charges.
6. Social Media & Portfolio Consent
Clients must state at booking whether they are happy for progress images or drafts to be shared on social media. If the project is a gift or no preference is provided, progress images will not be shared. Finished designs may still be used for portfolio or promotional purposes unless otherwise agreed in writing.
7. Payment Terms

Clients receive usage rights for the agreed purposes only.

Repurposing, resale, or distribution outside the original scope without written permission constitutes copyright infringement.
